Barcode Label Procedure

All barcodes and transmittals must be obtained from FDB of Tallahassee, Inc. to be put into O'Neil. Barcodes from other vendors or other businesses will not work.

For every barcode, there is a transmittal. There are (3) transmittals to a page (6 boxes would take 2 pages of transmittals). Transmittals have space and lines for all information you decide to cross-reference (barcode, numbers, letters, dates, time, etc.).

Barcodes must be placed on the bottom right of the short side 12'' side of each box.

Each barcode must be written on the transmittal, coinciding with what number you have in your index.

Each transmittal allows 3-4 lines to write down the information for each box (after 3 lines, FDB charges $.20 a line to type in the information into the O'Neil system).

You can tape paper, markings, etc. on the outside of the box, but the barcode must not be covered. However, most items do tear off when moving and stacking over time. We suggest putting a copy of what you want on the outside, also on the inside if you want to keep that for yourself.

All FDB is concerned with is the barcode - that will tell us all we need to know, or what we should know by what customer puts on the transmittal.

All boxes must follow the box requirements set forth by FDB, also a part of Schedule B:

  • All boxes must have handles
  • No hanging folders / files in box
  • Contents in box cannot cause the box to bulge
  • If notebooks are contained in box, they cannot extend above the top of the box itself, preventing the lid to close
  • No boxes over 2 cubic feet (except for the initial pickup). All boxes after initial pickup shall be in standard 1.2 cubic foot box
  • Boxes must be in good condition, no broken handles or torn panels
  • Standard size box (1.2 cubic feet) has a weight limit of 40 pounds
  • Florida Data Bank sells boxes:
    • 1.2 Cubic foot box = $2.15 each plus tax
    • .7 Cubic foot box = $1.50 each plus tax
    • 1.7 Cubic foot box = $2.95 each plus tax
